1. Overview

CaptainsHQ helps charter businesses manage bookings, customers, team workflows, messaging, and payments. We use information only to operate, secure, and improve the service.

2. Information We Collect

We may collect:

  • Account information such as name, email, username, and password hash.
  • Business and booking data entered by captains and staff.
  • Customer contact details needed for booking operations and communication.
  • Payment and subscription metadata from providers like Stripe.
  • Integration data from connected services such as Google Calendar and Twilio.
  • Technical logs used for reliability, fraud prevention, and support.

3. How We Use Information

  • Provide booking, calendar, reminders, messaging, and billing features.
  • Send transactional messages and platform notices.
  • Support customers and troubleshoot technical issues.
  • Monitor security, prevent abuse, and improve product performance.
  • Help businesses send their own customer marketing where configured by the account owner.

4. Google user data

When an organization billing owner chooses to connect Google Calendar, CaptainsHQ uses Google’s OAuth service with limited access to that Google account. This section describes what we access, why we use it, how long we keep it, and how you can revoke access.

  • What we access. We request permission to read calendar events (including busy times) and to create, update, or delete calendar events associated with your CaptainsHQ bookings when sync is enabled. We also receive basic profile information from Google as part of sign-in (such as the email address tied to the connected calendar), which we use to identify which Google account is connected.
  • Why we use it. We use this data only to provide calendar features inside CaptainsHQ: for example, showing availability context to captains, syncing confirmed or pending bookings to your calendar when you turn that on, and helping prevent double-booking where product settings require it. We do not use Google Calendar data to serve third-party ads, and we do not sell it.
  • Retention. OAuth tokens and related connection metadata are stored securely while the integration remains connected and as needed to operate the feature. If you disconnect Google Calendar in CaptainsHQ settings, we remove access on our side by clearing stored tokens and connection state associated with that integration, subject to limited retention for security, fraud prevention, and legal compliance where applicable.
  • Revocation. You can disconnect Google Calendar at any time in CaptainsHQ settings, which stops new sync and calendar API use from our application. You may also remove CaptainsHQ’s access from your Google Account security controls; either action stops our use of Google user data for that connection going forward.

If we materially change how CaptainsHQ uses Google user data, we will update this Privacy Policy, change the "Last updated" date above, and notify organization account owners using the email address on file and/or an in-product notice, so you can review the changes before continued use where required.

5. Data Sales and Sharing

CaptainsHQ does not sell personal data. We only share information with service providers and integrations required to run the platform, such as cloud hosting, payment processing, email/SMS delivery, and calendar synchronization.

6. Marketing Communications

CaptainsHQ account owners may use the platform to send communications to their own customers, including reminders or promotional offers such as rebooking discounts. CaptainsHQ does not use your customer list for unrelated third-party marketing.

7. Security and Retention

We use commercially reasonable safeguards to protect data in transit and at rest. We retain data as needed to provide the service, comply with legal obligations, resolve disputes, and enforce agreements.

8. Your Choices

Account owners can update organization data, adjust communication settings, and request account changes. End customers should contact the charter business they booked with regarding updates or opt-out requests related to captain-sent campaigns.
